Operator playbook

Group tours lose bags in boring ways — fix the boring parts

Cut the overnight “whose bag is this?” thread before day three of every multi-city itinerary.

  1. 01

Tag at pickup, not after the panic

Issue physical hang tags when guests board the first coach. Don’t wait until someone cries in the hotel lobby. Digital copies work as a PDF in the pre-departure email for people who print at home.

  2. 02

    One rule for guides

Guides don’t publish guest numbers. Guests own public mode. If a bag goes missing at a rest stop, the guest enables public mode from the portal — or your ops desk does it with their consent.

  3. 03

Finder flow that doesn’t need your brand app

Coach drivers, museum staff, and hotel porters already have phone cameras. That’s enough. They scan, they see only what the guest allowed, they tap WhatsApp or call.

  4. 04

    After the trip

Remind guests to flip public mode off. Privacy First isn’t a slogan if tags stay loud forever.

Common mistakes

  • Printing one shared QR for the whole group (don’t)
  • Putting the company phone as the only contact (you’ll drown)
  • Skipping the pre-trip email so guests never claim tags

Field note

A desert safari operator in the UAE told us their worst week wasn’t theft — it was identical black roller bags at a buffet stop. Tags don’t make bags unique-looking. They make them reachable.
